Leave and absences

Leave management: request, approve and deduct without paper

Leave is the most frequent HR request. A single workflow replaces paper forms, emails and the balance spreadsheet nobody dares to touch any more.

The workflow

A leave request, from start to finish

  1. The request

From their self-service space, employees pick their dates and, for each one, a full or half day. HR can also enter leave for one or several employees.

  2. The checks

Public holidays are not deducted, and dates that clash with a punch or an absence are flagged before saving.

  3. The decision

The line manager is notified by email and approves or refuses. Other approvers can give their opinion, shown next to the decision.

  4. The deduction

Approved leave is deducted from the balance, replaces the shift plan for those days and prints on a document with your company details.

Balances

A balance calculated under the Labour Code

Each employee's balance is calculated automatically: 1.5 days per month of service (article 231), i.e. 18 days a year, plus 1.5 days for each full five-year period of seniority, up to 30 days (article 232).

Annual paid leave entitlement by seniority (articles 231 and 232)
SeniorityAnnual entitlement
Under 5 years18 days
5 to 9 years19.5 days
10 to 14 years21 days
15 to 19 years22.5 days
20 to 24 years24 days
25 to 29 years25.5 days
30 to 34 years27 days
35 to 39 years28.5 days
40 years and over30 days (cap)
  • Employees under 18 earn 2 days per month of service.
  • Carry-over is limited to two consecutive years (article 240): expired days are shown separately.
  • Only annual paid leave is deducted from the balance; other leave types are tracked without touching it.

Employees see how their balance is built: days earned, carry-over, days taken, expired days and days remaining.

Absences

Every absence categorised and documented

An absence is declared like leave, from the employee's space or by HR. A medical certificate or summons is attached as a photo or PDF. The absence is pending, accepted or refused, and the employee is told the decision.

  • For each day of an accepted absence, you decide whether it counts as working time or not
  • A refused absence never credits any time
  • For just a few hours, an exit pass is the better fit
  • Time off in lieu granted as compensation is counted in days
